Wedding seating plan app: what it should do
What a good wedding seating plan app or tool should do, from importing your list to keeping families together, with a scorecard and a free seating chart maker.
A good wedding seating plan tool lets you paste in your guest list, keeps couples and families together, keeps apart people who should not share a table, lets you move anyone by hand, and prints or downloads the plan for your venue. Use the scorecard below to judge any tool, or try our free seating chart maker.
What a seating plan tool should do
Tick what the tool you are looking at can do. Our free seating chart maker covers the first two groups.
What should it do first?
Save you typing. If you already have a guest list, a good tool takes it as pasted text or a spreadsheet file. Then it should do the sorting you would otherwise do on sticky notes: groups together, couples at one table, awkward pairs apart.
Which features matter, and which are extras?
| Feature | Essential? |
|---|---|
| Import or paste a list | Yes |
| Keep couples and families together | Yes |
| Keep certain guests apart | Yes |
| Move guests by hand | Yes |
| Print or download | Yes |
| Room layout with table shapes | Nice to have |
| Meal choices next to names | Nice to have |
| A "find your table" page for guests | Nice to have |
App, spreadsheet or paper?
For under about 50 guests, paper and a pencil work. For more, a tool saves hours, mostly when replies change and you need to move people. A spreadsheet is fine if you are comfortable with one; our seating chart template gives you the columns.
What about privacy?
Your guest list holds names, and sometimes addresses and dietary needs. Prefer a tool that keeps the list on your device or lets you delete it. Our seating chart maker runs in your browser and does not send the list anywhere.

Questions
What is the best wedding seating plan app?
The one that does the essentials above and that you find easy. Try a free tool first; most couples need nothing more.
Can a tool seat everyone automatically?
It can make a good first draft from groups and rules. You will still want to move a few people by hand.
Do I need an app for a small wedding?
Not really. Under about 50 guests, paper works. A tool helps when lists are long or replies change.
Is my guest list safe in a seating app?
It depends on the app. Ours keeps the list in your browser; for others, read their privacy page.
